It's no secret that most gym members do not stop to study a wall of instructions before using a machine. They glance at the equipment, look for a few obvious adjustment points, and start moving. Whether you are adding a selectorized circuit, upgrading your pin-loaded strength equipment, or improving an existing training floor, simple machine instructions can make the difference between confident use and confused guesswork.
Good instructions do more than explain an exercise. They help new members feel comfortable, reduce repetitive questions for staff, encourage better equipment setup, and support a more consistent experience across the facility. The challenge is making those instructions useful without turning each placard into a miniature textbook.
Start With the Member's Immediate Questions
A member standing in front of an unfamiliar machine usually wants four answers: What does this train? How do I adjust it? Where does my body go? What movement should I perform?
Build the instructions around those questions instead of starting with anatomy lessons or technical product details. A practical instruction panel might follow this order:
- Target: Name the primary muscle group in plain language.
- Adjust: Explain the seat, pad, handle, or starting-position adjustment.
- Position: Describe where the feet, knees, back, chest, elbows, or hands belong.

Keep Every Step Short and Action-Based
Machine instructions should sound like coaching cues, not legal documents. Begin each step with a clear action verb such as adjust, sit, grip, press, pull, extend, or return.
Instead of writing, "The seat should be adjusted to a position that allows the user's shoulders to align with the machine's rotational axis," write, "Adjust the seat until your shoulders line up with the pivot point." The second version is shorter, easier to understand, and more useful during a workout.
Aim for one action per sentence. When a sentence contains three or four separate commands, members are more likely to skip part of it.
Use a Consistent Instruction Formula
Consistency helps members learn how to read your equipment. If every machine uses a different layout, terminology, or sequence, users must decode the placard before they can decode the exercise.
Create one facility-wide template and apply it to every strength station. The same visual order should appear on a chest press, low row, leg extension, functional trainer, and shoulder machine. Visuals should also match the actual equipment. If the machine has independent arms, an adjustable start position, or multiple handle options, the diagram should not show a generic movement that ignores those features.
Separate Setup From Exercise Technique
Many instruction panels combine machine adjustment and movement cues into one dense paragraph. Members then miss the setup details that determine whether the exercise feels comfortable.
Use two clearly labeled sections:
- Set Up: Seat height, pad position, range setting, handle selection, and weight selection.
- Exercise: Starting posture, movement path, stopping point, and controlled return.

Place essential safety cues near the relevant instruction rather than hiding them in fine print at the bottom. A short cue positioned beside the adjustment image is more likely to influence behavior.
Design for a Five-Second Scan
Stand several feet away from the finished placard and look at it as a busy member would. Can you identify the machine's purpose, setup steps, and movement direction within five seconds?
Use a readable font size, strong contrast, clear spacing, and descriptive headings. Avoid long paragraphs, decorative typefaces, and unnecessary branding elements that compete with the instructions. The exercise name and first setup step should be the easiest elements to find.
Placement matters too. Mount instructions where users naturally look while adjusting or entering the machine. A beautifully designed placard has little value when it is hidden behind the seat or blocked by the weight stack.
Test Instructions With Real Members
Before finalizing a full set of signs, test a few prototypes with people who are unfamiliar with the machines. Ask each person to set up and use the equipment without verbal coaching.
Watch where they hesitate. Note which adjustment they miss, which term confuses them, and whether they understand the movement illustration. Their behavior will reveal problems that are easy to overlook when the instructions are written by trainers or equipment experts.
Also ask front desk employees and coaches which machine questions they answer most frequently. Those recurring questions should influence the wording and visuals on the placard.
Review Instructions as Part of Floor Maintenance
Machine instructions are operational tools, so include them in routine facility inspections. Replace labels that are scratched, faded, peeling, or hidden by repositioned equipment. Update instructions when attachments, layouts, or programming change.
